CEA Marketing Group is a 28-year digital marketing agency with a growing roster of podcast and YouTube channel clients. We help business owners, thought leaders, and brands build their presence through high-quality audio and video content.

We're looking for a detail-oriented Production Assistant to help manage and execute podcast and YouTube productions for multiple clients.

The Role

As our Production Assistant, you'll be the behind-the-scenes person who keeps our podcast and YouTube productions running smoothly. You'll handle everything from scheduling guests and prepping episodes to coordinating post-production and managing publishing calendars.

This is a part-time position with potential to grow as we add more podcast and video clients.

What You'll Do

You'll get hands-on experience across every aspect of running a marketing agency:

Pre-Production
  • Schedule guests and coordinate calendars across multiple shows
  • Send guest prep materials (questions, tech requirements, release forms)
  • Research guests and topics to prepare hosts
  • Create episode outlines, run sheets, and talking points
  • Manage content calendars and episode planning
  • Coordinate any in-studio logistics (equipment, space, refreshments)
Production Support
  • Assist with tech setup for remote and in-studio recordings
  • Monitor audio and video quality during recording sessions
  • Take notes and timestamps during episodes for editing reference
  • Troubleshoot basic technical issues
  • Ensure guests are comfortable and recordings run smoothly
Post-Production Coordination
  • Organize, label, and manage raw audio and video files
  • Coordinate with editors and provide editing notes
  • Write compelling show notes, episode descriptions, and timestamps
  • Create or coordinate audiograms and video clips for social media
  • Upload and schedule episodes across podcast platforms and YouTube
  • Manage publishing calendars and ensure consistent release schedules
  • Track episode performance and compile basic analytics
Guest & Client Communication
  • Serve as the primary point of contact for podcast guests
  • Send confirmations, reminders, and follow-ups
  • Coordinate with clients on episode topics, guest ideas, and content direction
  • Follow up with guests post-episode with thank yous and share links

Who You Are

  • Organized and detail-oriented with excellent follow-through
  • Passionate about podcasts and video content (you probably listen to or watch several yourself)
  • Tech-savvy and comfortable troubleshooting audio/video issues
  • A strong communicator who can coordinate between hosts, guests, and editors
  • Self-motivated and able to manage multiple shows and deadlines independently
  • A good writer who can craft engaging show notes and descriptions
  • Professional and personable when interacting with guests and clients
Basic Qualifications
  • Understanding of podcast and video production workflows
  • Familiarity with recording platforms (Riverside, Zoom, StreamYard, or similar)
  • Basic knowledge of audio and video editing concepts
  • Experience with podcast hosting platforms (Buzzsprout, Libsyn, Anchor, Spotify for Podcasters)
  • Understanding of YouTube Studio and video publishing
  • Strong written communication skills
  • Excellent organizational and time management skills
  • Available for occasional in-studio sessions in the Tampa Bay area
Bonus Points
  • Experience as a podcast producer, VA for content creators, or production assistant
  • Audio editing skills (Descript, Audacity, Adobe Audition, GarageBand)
  • Video editing skills (Premiere Pro, Final Cut, CapCut, DaVinci Resolve)
  • Experience creating audiograms and social clips (Headliner, Opus Clip, Canva)
  • Familiarity with AI tools for transcription, editing, or content repurposing
  • Your own podcast or YouTube channel (we love people who get it)
  • Experience with project management tools (ClickUp, Asana, Notion)
